Privacy policy

Last updated: 1 November 2026

1. Who we are

This policy explains how the Amhara Sport Federation in North America ("ASFNA", "we" or "us"), a Colorado nonprofit corporation, collects and uses personal information through asfna.org (the website).

2. Information we collect

  • Contact form: your name, email address, phone number if you give it, and your message.
  • Sponsor form: your name, email address, phone number if you give it, your company or organization, and your message.
  • Team, player, volunteer and vendor forms, when they are open: your name, email address and phone number, plus what the form asks for, such as your team, city, sport, coach, position, availability, business and what you would sell or offer.
  • Payments, when they are open: the amount, the date, what the payment was for, and limited details from Stripe. We don’t receive or store your full card number or security code.
  • Technical information: our hosting provider and security tools record details such as your IP address, browser type and the pages you request, to keep the website working and protect it from attacks and spam.

3. How we use information

  • To reply to you and review your application.
  • To run the tournament, including teams, schedules, results and communication with participants.
  • To process payments and keep financial records.
  • To protect the website and prevent spam.
  • To meet our legal obligations.

We don’t sell personal information, and we don’t share it with others for their marketing.

4. Team and player information

Team names, cities, coaches, schedules and results can appear publicly on the website. A player’s profile is shown only after ASFNA staff choose to publish it, and only for an adult who agreed or when guardian consent is on file.

5. Children

The website isn’t directed to children. Forms that ask you to confirm you are 18 or older are for adults only, and we don’t knowingly collect information directly from anyone under 18 through them. If youth registration opens, a parent or guardian must complete it and give consent, and we will publish the rules first. If you think a child has sent us information, contact us and we will delete it.

6. Who can see your information

Only authorized ASFNA staff can see form submissions. Service providers handle information for us, only as needed to provide their services:

  • SiteGround hosts the website, its database and our email.
  • Stripe processes card payments under its own privacy policy.
  • Cloudflare Turnstile may check that forms are sent by people and not spam bots.

We may also share information if the law requires it, to protect the rights or safety of ASFNA or others, or with your permission.

7. Cookies

The website uses only the cookies it needs to work, such as those that keep staff signed in. We don’t use advertising cookies or third-party tracking. Our social links are plain links, so those services’ tracking tools aren’t placed on the website. If we add visitor statistics later, we will update this policy first.

8. How long we keep information

  • Contact and sponsor messages: 2 years.
  • Applications: 7 years.
  • Payment records: 7 years.

We may keep information for longer if the law requires it.

9. Your choices and rights

You can ask us for a copy of your information, or ask us to correct or delete it. We may need to keep some information, such as payment records, for legal or accounting reasons. We don’t send marketing email without your permission.

10. How we protect information

We use encrypted connections (HTTPS) across the website, limit access to authorized staff, and leave card details to Stripe, so they never reach our website. No system is completely secure. If a security incident affects your information, we will notify you as the law requires.

11. Changes to this policy

We may update this policy. The new version will be posted here with a new date.

12. Contact us

For questions or requests about your information, email info@asfna.org or call 720-610-7085.
